On-line Registration - Phase 3

The fast track to doing everything right in phase three of the on-line registration:

1. Phase three of the registration process is designed to let you submit the following information:

• add the personal information of players and guests
• sign-up for medical insurance for the duration of the tournament
• upload digital photographs of players and guests for tournament identification passes
• assign an accommodation option for each player and guest
• indicate a preference for a roommate
• reserve extra nights of accommodation
• assign meal packages to your players and guests
• request airport transportation

2. Medical insurance: We urge all players to carry medical insurance for the tournament.  We will ask you to sign a waiver indicating that you are indeed covered by insurance.  To make life easier for you, we have arranged for two very inexpensive insurance options from a large Scandinavian insurance company to cover you while you are playing.

3. Photographs: It is highly recommended that you submit all player and guest photographs in digital format on-line.  This will enable us to produce your tournament identification in advance and simplify your registration process considerably.  We would like to have passport type photos of everyone and players preferably wearing team uniforms.  Preferred file format is .jpeg.  The teams that do not submit photos in advance should be prepared to queue for photos at registration. Please make life easier for all of us and send your photos in advance!

4. Accommodation options will include a list of all options confirmed for your team.  Please note that if you select an incorrect accommodation for one player this will result in a shortage of accommodations at some point of the process.  You can indicate a preference for a roommate.  This should be the name of a player or a guest, who you know will be staying at the same hotel with you.  The assignment of teams to hotels is now available on-line. We will take care of matching up the roommate requests when we assign people to rooms.

You are now also able to reserve extra nights.  The accommodation page indicates prices per person for extra nights at each hotel.  They are 1/8 of the cost of the full packages for ultimate except in option G. You will also be reimbursed for a shorter stay, but we do require that your stay always includes Wednesday, August 4th, whichever way you decide to shorten it.

5. Meal packages that have been confirmed for your team will be available for allocation to players and guests.  Please indicate, if you are a vegetarian.  You may also include information on any other dietary matters and we will try to cater to your wishes, whenever possible.  This is more likely, if you have selected the premium dinner package.

6. Airport shuttles will be scheduled from Helsinki and Tampere for Friday (July 30th) and Saturday on inbound days and Saturday (August 7th) and Sunday on outbound days. The number of shuttles will be adjusted according to demand and we will publish a shuttle schedule a week before the tournament.

7. Completing your team registration: Once you have entered all the desired information for your team and the guests travelling with your team, we would ask you to send a simple e-mail to our registration address registration-at-wugc2004.org to tell us that your team is now ready for processing.  The sooner you act, the easier it will be for us to arrange extra nights etc.  The final day for completing this information is Friday, July 16th.

8. Changes to player and guest numbers: All cancellations and additions are now handled manually.  Please send e-mail to our registration address registration-at-wugc2004.org, if you need to change your numbers.  This close to the tournament, the only reasons for making changes should be medical issues.

9. Final invoices: Once all of the teams from your country have completed their registration, we will send you final invoices, if necessary.  We will try to time this in a way that you will have a chance to transfer the balance so that it will arrive on our account before you arrive in Turku.  Again, this will greatly speed up your on-site registration.

10. Special notice to Guts teams: Please add only names of dedicated guts players to your player list.  You will be able to list any ultimate players from your country that are on your team separately.
